TeleMagic AutoResponder

TeleMagic Auto Responder automatically checks your database for records meeting a specified filter's criteria. When a record or records meet the criteria, a response is generated. The response can be a fax and/or an e-mail that gets queued to the Automation Server.

The response can include merge information and document attachments. E-mail responses can be sent either to the contact's e-mail address, or to a specified e-mail address or group of addresses, such as customer support representatives.

Auto Responder can create an activity and/or stamp the contact's notepad when it creates a response. You determine how Auto Responder works with any database by creating profiles. You can create profiles for any or all of your databases, and you can create multiple profiles for each database.

Here are some examples.

Example 1: Call Center Application

Let's say you have a person answering your incoming sales line. When the calls come in, this person is instructed to add a new TeleMagic record, then schedule a fax or e-mail to the contact to send the requested material. In this case, the Auto Responder can be set up to automatically send the document as selected by the operator. You no longer need to train them how to queue a fax or e-mail.

Example 2: Lead Generation

Assume you have a Prospect database. You just purchased several thousand names and would like to do a broadcast e-mail or fax. You may want to send an e-mail if they have an e-mail address, otherwise you would want to send a fax. Without Auto Responder, you would have to create a filter to separate the records, then queue the filtered e-mail and fax separately, depending on the condition. With Auto Responder, you do not need to manually queue either group. You can set up Auto Responder to determine whether an e-mail or fax is appropriate, then as soon as the records are imported, it will automatically start sending the materials

Example 3: Sales & Marketing

When sales people talk to prospects, they often need to e-mail or fax product brochures and other sales material. Without Auto Responder, they would have to launch the fax or e-mail program, select the documents and then queue them to the Automation Server. With Auto Responder, the database can be configured so all they would have to do is to select check boxes in the record for the documents they would like to send, and save the record.

Example 4: Accounts Receivable

Assume you have a database that keeps track of any outstanding balances for your accounts. You can set up Auto Responder with the e-mail addresses of the account representatives and have Auto Responder send an e-mail to that person as soon as one of their accounts become past due

A. Yes, you can set up each database to perform its own task.

A. Yes, you can set up the same database to monitor different flags and act accordingly.
Q. How many databases could be set up to use Auto Responder?
A. There are no limits. You can set up as many databases to be monitored as you like.
Q. What are some examples of how you would use Auto Responder?
A. There are number of ways Auto Responder can be utilized.
Q. Do I need to install NetClient to utilize this program?
A. No, Auto Responder is designed to work with TeleMagic V4.5 databases. The Prospect Module is an ideal way of utilizing this program, but it is not necessary.
Q. Does Auto Responder track the sent faxes or e-mail?
A. Yes, it can be set up to stamp the notepad and create a completed activity.
Q. Does Auto Responder have the ability to schedule a call for my sales Rep?
A. Yes, you have the option of creating a Pending Activity when a fax or e-mail is sent.
Q. When creating Pending Activities, can you assign it to a specific sales rep based on the data in the record?
A. Yes, you can define a field where the User ID for the activity is stored. This field could be a TeleMagic calculated field based on the region or any other criteria.
Q. Do you need to decide in advance whether you want Auto Responder to send e-mail or a fax?
A. No, you have the option of setting it up in advance to do one or the other, or you can set up a calculated field to determine that on the fly.
